# Alerts

Your Dynamics 365 alerts in the Dynamics Express app — the Alerts list and a push notification for each new alert.

The alerts Dynamics 365 sends you can also reach your phone. When an alert rule with **Send to Mobile workspace** fires (a record is created, deleted, a field changes, a due date is reached), the Dynamics Express app shows a notification. The alert is in the app's **Alerts** list, where it also stays when you're offline.

## See it in action

A two-and-a-half-minute walkthrough: an alert rule with **Send to Mobile workspace**, a confirmed sales order on the phone a moment later, the alert opened, marked as unread and opened in Dynamics 365, and a product receipt and a movement journal reaching the phone the same way.

## Set up in Dynamics 365

Alerts are standard Dynamics 365 functionality. The app shows the alerts of your user from the rules you marked **Send to Mobile workspace**. The feature is switched on in *System administration › Setup › License configuration* under **Advanced Suite › System administration › Alerts to Mobile workspace** (on by default). Switched off, the **Send to Mobile workspace** checkbox is hidden and no alerts are sent to the app. Alerts are sent only to users with **Alerts** selected in *Advanced parameters › Product and licenses ›* [*User licenses*](/advanced-suite/getting-started/activate-a-license.md#user-licenses) (the Mobile workspace base license includes 20 users).

You need these alert rules and the alert batch jobs:

1. **Batch jobs for alerts** (once per environment, by the system administrator):
   * *System administration › Periodic tasks › Alerts › Change based alerts* — set **Batch processing** to **Yes** and, under **Recurrence**, a short interval (for example every minute, no end date). Needed for rules on a record created, deleted or changed.
   * *System administration › Periodic tasks › Alerts › Due date alerts* — the same, for rules on a due date.
2. **An alert rule** (each user, for what they want to follow): open the record or list, for example *Accounts receivable › Customers › All customers*, and select **Options › Share › Create a custom alert**.

   * **Alert me when** — the **Field** and the **Event** (*has changed*, *Record has been created*, *Record has been deleted*, a due date).
   * **Alert me for** — **All records** of the table, or only the **Current record**.
   * **Alert me with** — the **Subject** and **Message**, which the app shows as the title and text of the notification, and the **User ID** who gets the alert. It must be the user registered in the app.
   * **Send to Mobile workspace** — set to **Yes**. Only the alerts of rules with this checkbox reach the app; the other rules work as before (the D365 notification centre, **Send email**, **Send externally**).

   Your rules: *Options › Share › Manage my alerts* — **Send to Mobile workspace** can be switched there too, under **Alert rule details**. It applies to alerts created after the change.
3. The **Mobile workspace integration** batch job must be running ([Integration and data initialization](/mobile-workspace/integration.md)). It sends the new alerts to the app at its next run, every minute.

An alert usually reaches the phone within one to two minutes after the change was saved: one run of **Change based alerts**, then one run of **Mobile workspace integration**.

{% hint style="info" %}
Only alerts created while the user's app is registered are sent as they come. When a device registers (or you select **Reload all data** in the app's settings), the app gets your alerts of the last 30 days, at most 100, from rules with **Send to Mobile workspace**, without notifications.
{% endhint %}

## Notifications

With notifications allowed ([App settings](/mobile-workspace/mobile-application/app-settings.md#notifications)), every new alert shows a notification: the alert's **subject** as the title, the record it is about and the message as the text. Tap it to open the alert. When more than five alerts arrive at once, you get one notification, *N new alerts*, which opens the list.

## The Alerts list

Open the menu (☰) and select **Alerts** under **Notifications**. The number next to it is the count of unread alerts.

Each row shows the subject and the date, the record the alert is about and the message. Unread alerts are bold with a dot. Pull the list down to refresh it.

Tap an alert to open it:

* **Subject**, **Alerted for** (the record), **Message**, **Table**, **Field**, **Company**, **Created at**, **Due date** (due date alerts), **Rule ID** and **ID**.
* The open icon at the top right opens the record the alert is about in Dynamics 365, in the form the alert rule was created on (for example the movement journal in **Movement**), and marks the alert as read in Dynamics 365. When the record no longer exists, it opens the alert in the **Alerts** form.
* The mark as unread icon next to it makes the alert unread again and goes back to the list — to come back to it later.

Opening an alert marks it as read in the app. An alert you mark as read in Dynamics 365 shows as read in the app too; **Mark as unread** in the app keeps it unread in the app. An alert deleted in Dynamics 365 disappears from the app at its next full reload.
